3 Basic Systems to Enhance Your Productivity

Do you ever feel like there is too much to do and not enough time to get it all done? Ever wish that there were more hours in the day? We all are given the same 24 hours in a day, but it’s what we do with those hours and how we make them count. In today’s time, it may seem difficult to keep up with the demands of life, family, and business.  Having systems in place will surely help ease the overwhelm and help you become more productive.

Being productive means to get more done in less time.  Do more of what matters and less of what doesn’t.  Work more on the task that will help you get closer to your goals.  Focus on your most important task. Use systems to help you stay productive.

There are three simple systems that you can implement right away to help enhance your productivity,  master your time, and help organize your life.

  • Calendar
  • List
  • Tools

Calendar

Planning is a key component to success. Use your calendar effectively to plan your day and manage your time. I use a 12 year calendar system where I am able to view my monthly and quarterly business reviews, family activities, events, and appointments. Google calendar is also a great tool to use where you will be able to keep track of your daily task and important dates.  Sync your calendar to your smartphone so that you will be notified even when you are on the go. One of my favorite quotes by Paul J. Meyer is “Productivity is never an accident. It is always the result of a commitment to excellence, intelligent planning, and focused effort”.

List 

Prioritize your daily task with a list. Write out your to do list the night before you start your next day.  This will save you time and energy by knowing exactly what you are trying to accomplish each day.  Most importantly it will help increase your productivity.  Trust me, you can get so much more done when you start your day with clarity knowing exactly what you are trying to accomplish.

Tip: Keep a notebook handy to make it easy to jot down ideas that may come to you at any given time.  Ideas comes to me while I’m cooking or even driving down the road.  With my busy schedule, it is difficult for me to remember deadlines, appointments, and events in my head. So, I make sure that I always have a pen and paper handy so that I can write things down. If you do not like to take a lot of notes, you can also download voice recorder apps on your smartphone.  A cool tool I use is Evernote.  Get into the habit of creating a to do list on a daily basis and work your list until your tasks are complete.

Tools 

I absolutely love tools and systems for personal and business.  Technology has made our lives much easier and has given us the ability to be more productive.  Evernote is like my digital assistant.  I store notes and recordings all in this one system.  Great tool to use for your digital note taking organizer.  For business -you can use a social media management system called Hootsuite. It is a great way to manage multiple social networks and schedule your post.   MindMeister is a really amazing solution to help you to brainstorm your most important tasks and capture as mind maps.  There are numerous of tools online to help you enhance your productivity.  Find a few of these free or low cost tools to help you work smarter.
